Sample (very general) timeline for student planning committees:
November -- first committee meetings begin
Site development: contact agencies for initial project development
Publicity: advertising begins for event in mid-November
Registration: mail info to clubs, registration begins at end of November (database for registration updated as people begin to register)
Day of Event: contact organizations & potential speakers
Hospitality: contact restaurants/grocery stores for possible donations for meal, begin designs for "keeper"/giveaway
Advisor: contact & recruit site leaders, reserve vans/transportation at end of the month
December -- meetings continue until exam period
Site development: continue contacting agencies, begin finalizing projects
Publicity: continue advertising
Registration: 2 deadlines, early-bird registration ends in early Dec, regular registration ends week before the event
Day of Event: speakers confirmed, pledge cards designed, follow-up challenge organized (or in the works), bonus challenge decided on (with committee),
closing ceremony elements are in process
Hospitality: still finding food donations if necessary, place giveaway order before winter break begins
January -- normally one week of classes between return to school & MLK Day
Site development: last minute details of challenges coordinated & written-up, meeting with site leaders organized (overview of day & challenges is provided)
Publicity: helps wherever possible
Registration: registration continues until last week, organizes waiting list if necessary
Day of Event: confirm speakers, final touches on multimedia components, reflection materials gathered
Hospitality: breakfast and dinner confirmed, giveaway delivered & organized
Weekend before MLK Day
pledge cards copied
lunches purchased & organized
challenge board created
challenge packets printed & put together
run-through of schedule with DOE coordinator
multimedia components checked at event-site
posters, decorations, thank yous, reflection posters created
